Privacy Policy
Last updated: November 5, 2026
This Privacy Policy explains how Techo Services Inc. (“Techo Services,” “we,” “us”) collects, uses, shares and protects information in the Techo client portal at portal.techoservices.com (the “Portal”). The Portal is a business tool for Techo Services staff and for the employees of our existing business clients. It is not intended for consumers or for children under 16.
1. Information we collect
- Sign-in information. You sign in with your Microsoft (Entra ID) or Google work account. We receive only your name, email address and company. We never see or store your Microsoft or Google password.
- Service records. Tickets, invoices, quotes, agreements and asset records for your company, which come from our internal service-management systems that we use to run our business.
- Payment information. When you pay an invoice by card or bank (ACH), your card or bank details are entered into a secure form provided by Intuit (QuickBooks Payments) and turned into a token in your browser. They are sent directly to Intuit and never pass through or stay on our servers. We keep only the card brand, the last four digits, the amount, the invoice paid, the date and the payment status.
- Activity and technical information. Audit logs of actions in the Portal (for example, who signed in, which invoice was paid, and when), and basic technical data that our hosting automatically records, such as IP address, browser type and time of request. We use only the cookies needed to keep you signed in and secure. We do not use advertising cookies or third-party tracking or analytics.
2. How we use information
We use this information only to run the Portal and provide our services to your company: to sign you in and confirm you are authorized, show your company’s records, process, confirm and record invoice payments, provide support, keep the Portal secure, prevent fraud, and meet our legal and accounting obligations. We do not sell personal information, do not show ads, and do not use your information for marketing by others.
3. How we share information
We share information only with service providers that help us run the Portal, and only as needed for that purpose:
- Intuit Inc. (QuickBooks Payments), which processes card and ACH payments. Intuit’s handling of payment data is covered by Intuit’s own privacy statement. The Portal uses only Intuit’s payments permission (com.intuit.quickbooks.payment).
- A reputable U.S.-based cloud hosting provider, which hosts the Portal and stores its data in the United States.
- Microsoft, if you choose to sign in with a Microsoft account.
- Google, if you choose to sign in with a Google account.
- The providers of our internal service-management systems, which we use to manage your company’s tickets, invoices, quotes, agreements and assets.
We may also disclose information if required by law, subpoena or court order, to protect the rights, property or safety of Techo Services, our clients or others, or as part of a merger or sale of our business (in which case this policy will continue to apply). Your company’s authorized users can see your company’s records in the Portal.
4. How long we keep information
We keep account and service records for as long as your company is our client and the Portal account is active. Payment and invoice records are kept for 10 years to meet tax and accounting requirements. Audit and technical logs are kept for 12 months. When information is no longer needed, we delete or anonymize it.
5. How we protect information
- Card and bank numbers are tokenized by Intuit and never stored by us.
- All connections use encryption in transit (HTTPS/TLS), and data is stored encrypted with a reputable U.S.-based cloud hosting provider.
- Application secrets and keys are kept in a secure key vault, not in code.
- Access requires Microsoft or Google sign-in, users see only their own company’s records, and staff access is limited by role.
- Activity is logged so it can be reviewed.
No system is perfectly secure. If a breach affects your personal information, we will notify you as required by applicable law.
6. Your choices and rights
You may ask us to access, correct or delete your personal information, or to close your Portal access, by emailing us at the address below. We will verify your request and respond within a reasonable time, and within any period required by law. Some records (for example, payment and invoice records) may need to be kept for legal or accounting reasons; if so, we will tell you. Because your access is provided through your employer, we may also coordinate the request with your company’s administrator.
7. Changes to this policy
We may update this policy from time to time. We will post the new version on this page with a new “Last updated” date and, for significant changes, notify users in the Portal or by email.
